PRIVACY AND INTEGRITY POLICY

When you use Workspace Recruit, part of Roi Rekrytering services, you entrust us with your data. In this privacy policy we explain what data we collect, why we collect it and what we use it for. This is important! We hope you will take some time to read the policy carefully.

Privacy policy for clients and candidates

Our services can be used for many different things - but primarily linked to recruitment, whether you are a candidate or acting in accordance with a client to find new staff.

The privacy policy explains the following:

  • What information we collect and why.

  • How we use the information in question.

  • What choices we give you, for example, in terms of accessing and updating information.


We have tried to make it as simple as possible. If you are not familiar with concepts such as cookies, IP addresses, pixel tags and browsers, we suggest that you first read about these terms further down on this page. Workspace Recruit, part of Roi Rekrytering, protects your privacy. Whether Workspace Recruit, part of Roi Rekrytering is new to you or you have been using our services for a long time, you should familiarize yourself with our privacy practices. If you have any questions, you can always contact us.

Information we collect on clients and candidates

Our services can be used for many different things - but primarily linked to recruitment, whether you are a candidate or acting in accordance with a client to find new staff.

We collect information in the following ways:

  • Information you provide when applying for a job vacancy. Then we ask you for personal data such as name, e-mail address, telephone number, CV and more.

  • Information we receive when you use our services. We collect about which services you use and how you use them, for example how you manage a recruitment.

Device information

We collect information about the specific device being used (for example, hardware model, operating system version, unique device ID, and mobile network information, including phone numbers).

Log information for you who recruit

When you use our services or view content provided by Workspace Recruit, part of Roi Rekrytering, certain information is collected and automatically saved in server logs. Log data includes the following:

  • Information about how you used our service, such as how you view candidates.

  • Cookies that can identify your browser

  • Cookies and similar technology


We use various technologies to collect and save information when you use any of Workspace Recruit, part of Roi Rekrytering's services or visit our website. This may mean that cookies or similar technologies are used to identify your browser or device. We also use these technologies to collect and store information when you interact with the Services.

This is how the information we collect for clients and candidates is used

Information we collect from our services is used to provide, maintain, protect and improve the services, to develop new services and to protect Workspace Recruit, part of Roi Rekrytering and our users. We also in some cases use the information to provide you with customized content, such as email offers, promotions and advertisements that are more relevant to you.

The information we collect using cookies and other technologies, such as pixel tags, is used to improve the user experience and the overall quality of our services. One of the products we use for that purpose is Google Analytics.

If we want to use information for a purpose other than what is described in this privacy policy, we first ask for your consent.

Workspace Recruit, part of Roi Rekrytering handles personal data stored on servers located in Amsterdam, the Netherlands. These servers are provided by DigitalOcean, LLC.

Openness and choice for clients and candidates

Different users have different views on privacy. We want to be clear about what information we collect, so that you can make informed decisions about how it may be used. If you have any questions about what data we have on you, you are always welcome to contact us directly at support@workspacerecruit.com. If you want to export the information we have on you, we can do this and deliver the information to you via e-mail.

When you as a customer want to access and update personal data

We want you as our customer and user of our recruitment tool to be able to access your data when you use our services. If the information is incorrect, we want to give you the opportunity to easily update or delete it - provided that the information does not have to be kept for valid business purposes or for legal reasons. When you update your details, we may require you to confirm your identity before we perform the action.

We may deny a request if it is repeated an unreasonable number of times, requires a disproportionate amount of technical work (for example, the development of a new system or sweeping changes to existing practices), risks the privacy of others, or is highly impractical (for example, a request for information that is in our backup systems).

When we can provide access to data and correction, we do so without charge, except where it requires a disproportionate amount of work. We aim to keep our services in such condition that information is not destroyed by mistake or by malicious processes. Therefore, when you delete information in our services, it may take some time for copies of the deleted information to disappear from our active servers, but this happens within 72 hours. In addition, the information may remain in our backup systems, also here up to 72 hours, after which all information will be deleted and the possibility of recovery cannot take place after this unfortunately.

Information we share related to clients and candidates

We do not share personal data with companies, organizations or people outside Workspace Recruit, part of Roi Rekrytering's network (customers, suppliers and partners) except in the following situations:

  • With your consent


However, we may share personal data with companies/contractors in connection with ongoing recruitment processes.

Information security for customers

We work hard to protect Workspace Recruit, part of Roi Rekrytering and our users against unauthorized access, alteration, disclosure or destruction of information that we manage. Specific safety measures:

  • We encrypt many of our services with SSL.
  • You log into your account with two-step verification
  • We review our procedures for collecting, storing and processing data, including physical security measures, to protect against unauthorized access to systems.
  • We limit access to personal data to Workspace Recruit, part of Roi Rekrytering's employees, and suppliers who need the data to be able to process it on our behalf. They are contractually bound to strict confidentiality (data processing agreement).

Applicability of Privacy Policy to Clients and Candidates

The privacy policy applies to all services offered by Workspace Recruit, part of Roi Rekrytering.

Our privacy policy does not apply to services provided by other companies or individuals.

Changes

The privacy policy may change from time to time. We will not limit your rights under this Privacy Policy without your express consent. We will post notices of changes to the Privacy Policy on this page and, if the changes are significant, we will provide a more prominent notice (including email notifications of changes to the Privacy Policy for certain Services).

EXPLANATION OF EXPRESSIONS

Cookies

A cookie is a small file containing a string of characters. It is sent to your computer when you visit a website. With the help of the cookie, the website recognizes your browser when you visit the website again. User settings and other information can be stored in cookies. You can reset your browser to refuse all cookies or to indicate when a cookie is being sent. Please note that some website features or web services may not function properly without cookies.

IP addresses

Each device that is connected to the internet is assigned a unique number, i.e. an IP address (Internet protocol). Because these numbers are assigned in geographic blocks, an IP address can often be used to identify where a device connects to the Internet from.

Pixel tags

A pixel tag is a type of technology that is placed on a website or in the body of an e-mail message in order to record what happens on a website or when e-mails are opened or retrieved. Pixel tags are often used in combination with cookies.

Personal information

This is information that you send to us that identifies you personally, such as name, email address, billing information or other information.

HTTP referent

The HTTP referrer is information that the browser sends to a web page to be opened, typically when you click on a link to that web page. The HTTP referrer is the URL of the last web page the browser visited.

Server logs

Like most websites, our servers automatically record page requests made when you visit our websites. These "server logs" usually include your page request, IP address, browser type, browser language, date and time of your request and one or more cookies that can identify your browser.

WORKSPACE RECRUIT, PART OF ROI RECRUITMENT'S THINKING POLICY

Personal data is only kept for as long as there is a need to keep it to fulfill the purposes for which the data was collected, but never later than 24 months. However, the data may need to be saved for another purpose, then with regard to, for example, the Discrimination Act.

If we want to use the data longer, for example for future recruitment, Workspace Recruit, part of Roi Rekrytering, will ensure that jobseekers are informed and consent to continued registration via e-mail.

Personal data linked to customers and suppliers is saved as long as these are current for the ongoing relationship and for marketing and information purposes.

WORKSPACE RECRUIT, PART OF ROI RECRUITMENT'S ENVIRONMENT AND SUSTAINABILITY POLICY

Workspace Recruit, part of Roi Rekrytering strives for our operations to have as little environmental impact as possible both internally in our own operations and externally with our customers.

We therefore continuously work to:

  • increase knowledge and raise awareness of environmental issues among all employees

  • to the extent that it is possible to influence and make demands on those we collaborate with, other companies, suppliers, authorities and organizations, about the importance of having a sustainable environmental mindset at all levels

  • prevent pollution in air, land and water by considering the environmental impact of what we do both in the form of travel but also source sorting, prints and more.

  • constantly strive to improve the utilization of our resources within the company.

With our recruitment tool, we help our customers reduce their environmental impact through, among other things, reduced consumption of paper, toners and travel as the entire recruitment tool is cloud-based and accessible via the internet.

We urge our employees not to travel unnecessarily and to choose environmentally friendly means of transport as far as possible when travelling. We take the environment into account in our daily work by not printing anything other than when necessary, primarily holding meetings via the web and sorting waste as far as possible.
